Conditions for using PedirDocumentos.pt by companies, professionals and data subjects.

1. Identification and purpose

PedirDocumentos.pt is a digital platform operated by Além do Código, Lda. that allows companies and professionals to request, collect and manage official Portuguese documents through automated flows.

The platform may obtain documents from official portals such as the Portuguese Tax Authority, Segurança Social Direta and Banco de Portugal, always based on an instruction from the user or from the company that requested the collection.

PedirDocumentos.pt is not a public service, does not represent the Portuguese State and is not affiliated with, sponsored by or endorsed by the Portuguese Tax Authority, Segurança Social, Banco de Portugal or Autenticação.gov.

2. Who uses the platform

These Terms apply to three types of participants:

  • Registered companies and professionals: entities that create an account, manage clients and request documents through the dashboard.
  • Company users: employees or representatives authorised to use the organisation account.
  • Final clients or data subjects: people who receive a collection link and enter data or credentials so that the requested documents can be obtained.

3. Account, eligibility and company responsibility

Accounts are intended for companies, professionals and entities that have legitimacy to request documentation within their activity. The user declares that registration data is true, current and complete.

The company requesting documents is responsible for ensuring that it has a legal basis, authorisation, mandate or other legitimate title to request, receive and use the documents of the relevant final client.

The platform does not replace the company obligation to inform its clients, obtain the necessary authorisations and comply with professional, contractual and legal rules that apply to its sector.

4. Collection links and final client authorisation

When a company sends a collection link, the final client may select or confirm documents and enter the data needed to obtain them, including NIF, NISS, passwords and verification codes where applicable.

By continuing in the collection form, the final client authorises the company identified in the form to consult the selected official portals on their behalf, exclusively to collect the indicated documents.

This authorisation enables the operational collection through the platform, but it does not replace or relieve the company from ensuring a lawful basis, mandate or other appropriate ground to request, receive and use the documents in its process with the client.

PedirDocumentos acts as intermediation and automation technology: it technically performs the collection, delivers the results to the requesting company and applies security and confidentiality measures to the processed data.

5. Official portal credentials

Credentials entered in the collection form are used only to perform the requested collection. They may be kept temporarily in encrypted form during technical processing and are automatically deleted when the process ends successfully, fails or is cancelled.

PedirDocumentos must not use credentials for any purpose other than the requested collection, must not disclose credentials to the requesting company and must not retain credentials after processing is complete.

To protect the final client, the platform may limit or prevent new authentication attempts when repeated credential failures are detected. This measure is intended to reduce the risk of passwords or access being blocked on official portals. These failures are counted through technical records of the collection and processing attempt, without storing the password, incorrect credentials or an additional identifier based on the NIF.

  • It is forbidden to enter third-party credentials without express authorisation.
  • It is forbidden to use the platform to access data or documents without legitimacy.
  • The final client must confirm that the credentials provided belong to them or that they have authority to use them.

6. Data protection and GDPR processing

For account, invoicing, security, support and platform operation data, Além do Código, Lda. acts as controller.

For final client data processed in a collection requested by a company, the company is generally the controller because it decides the purpose of the request and the use of the documents. PedirDocumentos acts as a technical processor, processing that data only on company instructions and to perform the contracted service.

As a technical processor, PedirDocumentos undertakes to:

  • process data only to provide the service and comply with documented company instructions;
  • apply appropriate technical and organisational measures, including TLS, encryption of temporary sensitive data, access controls and segregation by organisation;
  • limit internal access to authorised persons subject to confidentiality;
  • reasonably support the company in handling data subject requests and GDPR obligations related to the collection;
  • use infrastructure subprocessors only when necessary to provide the service;
  • delete or return data as provided in these Terms, the Privacy Policy or a legitimate company instruction.

7. Documents obtained and retention

Documents obtained belong to the data subject or issuing entity, as applicable. PedirDocumentos does not claim ownership of document content.

Documents may remain available in the account of the company that requested the collection for consultation and download until deleted by the company or user, or until account closure, unless a legal obligation or valid instruction requires otherwise.

The company is responsible for later use, retention, sharing and deletion of the documents in the context of its process with the final client.

8. Payments, credits and invoicing

The platform may provide free and paid features. Professional features may operate with credit packs, consumed by document or collection as shown in the dashboard.

In some collections, the company or professional may choose to bear the cost using its own credits or send the final client a link for online payment of the collection service.

  • When the professional pays with credits, credits may be reserved when the collection is created and consumed only for successfully collected documents.
  • Reserved credits for documents not collected due to official portal unavailability, technical error, processing failure or another external limitation are not deducted.
  • When the final client pays online, the obtained documents remain available for 24 hours after payment is confirmed. Checkout or payment reference validity is shown by Stripe and may vary by payment method.
  • When the final client pays online, the amount is calculated after collection based only on documents obtained successfully. Documents not obtained are not included in the total to pay.
  • The base price paid by the final client is EUR 5 plus VAT at the legal rate for collections of up to 5 documents. Additional documents obtained successfully may cost EUR 1 plus VAT per document when applicable and shown before payment.
  • When the final client pays, collection is performed before payment and payment unlocks download or email delivery of the obtained documents. By accepting these Terms and proceeding to payment, the final client authorises document unlocking after confirmed payment.
  • The invoice is issued based on billing data provided by the final client or paying entity. The client is responsible for confirming that name, NIF, address, postal code, city, country and email are correct before payment.
  • Payments are processed through Stripe or another indicated provider. Prices, taxes, receipts and invoices are shown or handled in the available checkout and invoicing systems.
PedirDocumentos does not guarantee that every document can be obtained in every case, because collection depends on official portals, authentication, valid credentials, verification codes and third-party availability.

9. Prohibited conduct

It is forbidden to use the platform to:

  • request documents without authorisation, legal basis or appropriate legitimate interest;
  • enter third-party credentials, codes or data without consent or sufficient powers;
  • bypass security measures, test vulnerabilities without authorisation or interfere with service availability;
  • automate abuse, unauthorised scraping, fraud, money laundering, identity misuse or any unlawful purpose;
  • resell the service misleadingly or present PedirDocumentos as an official State service.

10. Availability and limits of official portals

The service depends on official portals, third-party authentication, access rules, network availability and technical changes outside PedirDocumentos control. We therefore do not guarantee continuous availability, fixed collection times or success in every request.

Changes in official portals, outages, captchas, 2FA codes, credential errors or external limits may temporarily prevent document collection.

11. Security, confidentiality and incidents

We apply security measures appropriate to the risk, including encrypted communications, segregation by organisation, access controls, operational monitoring and automatic cleanup of temporary credentials and codes.

No system is absolutely infallible. If an incident with relevant impact on personal data is identified, containment, analysis and communication measures will be taken when required by law.

12. Suspension and termination

We may suspend or limit access to the platform in case of breach of these Terms, security risk, abuse, non-payment, legal requirement or use that may harm third parties, the platform or official portals.

The company may request account closure through support channels. Closure may lead to deletion or unavailability of associated data and documents, without prejudice to legal retention obligations.

13. Liability

PedirDocumentos is responsible for providing the service with professional diligence and applying appropriate security and data protection measures. The user company is responsible for the legitimacy of the request, information provided to the final client and later use of documents.

To the extent permitted by law, PedirDocumentos is not liable for indirect damage, loss of opportunity, third-party delays, official portal unavailability, errors in documents issued by public entities or improper use of the platform by companies or users.

14. Complaints, contacts and disputes

Where consumer relationships apply, complaint and alternative dispute resolution channels may exist. The company responsible for the request must also inform its clients about the channels applicable to its activity.

These Terms are governed by Portuguese law. Without prejudice to mandatory rules, disputes will be submitted to the competent Portuguese courts.

15. Changes to the Terms

We may update these Terms to reflect legal, technical, commercial or security changes. The current version will always be published on this page. Materially relevant changes may be communicated to registered users by reasonable means.

Continued use of the platform after changes enter into force constitutes acceptance of the updated version, unless the law requires express acceptance.
